Enquiry data processing
Information about the KLIM STUDIO enquiry form.
We use your name, email, selected service, brief and voluntarily supplied links or images to review your request, clarify the brief and prepare a proposal. Enquiry data is not used for marketing mailings or portfolio publication.
For a request to enter into a contract, processing is based on pre-contractual steps at your request (GDPR Article 6(1)(b)). For an organisation’s representative, the basis is our legitimate interest in handling business correspondence (Article 6(1)(f)). Acknowledging this information is not consent to marketing.
Phone / WhatsApp and Telegram details are optional. Only with separate permission do we send written messages about enquiry emails via your selected channel. The basis is consent (Article 6(1)(a)). We record the permission wording, language, selected channel, version and timestamp. You can withdraw permission by replying in that channel or contacting the studio; this does not affect previous lawful processing. Without permission, communication is by email.
Enquiries and attachments are accessible in the owner’s protected dashboard. The website uses Sites and Cloudflare D1/R2; the owner signs in through ChatGPT. When an email provider is configured, the data required to deliver a message is passed to that provider. With agreed notifications, the selected WhatsApp, Telegram or SMS operator processes contact and message data; its terms also apply. Processor agreements and safeguards for any international transfers must match the services actually used.
Enquiry data is needed while reviewing the request and agreeing the project. Once its purpose ends, unnecessary information and attachments must be deleted unless retention is legally required or needed to protect legal rights. Contractual and accounting documents may be retained separately for the applicable statutory periods. Automated enquiry deletion is not currently configured; the owner deletes records and attachments from website storage. Email, messenger and downloaded copies are deleted separately.
Where provided by the GDPR, you can request access, correction, deletion, restriction and portability, and object to processing based on legitimate interests. You may complain to a supervisory authority, including LfDI Baden-Württemberg.
Name and email are used to respond; without email we cannot reply through this form. Other information is optional. Do not send identity documents, medical information or other sensitive data. The studio, not an automated system, makes project decisions. Enquiry images are not sent to production AI tools during initial review; reference use in production is agreed separately.
